The bear sculpture is a gift from the artist, Steve Tyree, and will stay at with the Library. • Board members should have received an invitation to the Boards and Commissions dinner to be held on Wednesday, October 24, at the West End Building. • The October Third Tuesday Author Talk program will feature Ursula Bacon. Patt Bilow suggested developing a card or a list for those who attend programs and would like to be on a mailing list to receive information about giving. Williams suggested this information be added to the emails that Cyndie Glazer sends out about Library upcoming events. Nancy Niland Shatsky volunteered to present the new Planned Giving brochure and talk about planned giving on the evening of the Bacon program. V. Chair's Report Chair Gabrielle Williams gave the Chair's report as follows: 1 CITY OF LAKE OSWEGO October 10, 2007 Library Advisory Board Library • Williams thanked Board members for all of their work in planning and hosting the Chair Event to thank supporters which was held on September 28. The evening was a success and enjoyed by all. VI. Lake Oswego Reads Update Director Baars reported on Lake Oswego Reads: • The brochure for LO Reads is in the development stages and the calendar of events is rapidly filling in. New items include cooking classes offered through the City's Parks and Recreations Department. • At the last LO Reads Steering Committee meeting advertising for the event was discussed. VII. Fundraising No discussion. VIII. Year End Letter Gabrielle Williams led the discussion: • A draft of the year end letter was included in the Board packet. Williams asked members to voice any edits they might have. • The new Planned Giving brochure will be included with the letter. A year end remittance form will be printed on a separate card to be included in the letter. Beverly Ross will research the procurement of a return envelope with a tear-off remittance form that could be used instead of the card. The form will be modified to include an additional option for making a donation with a credit card. The "Time to Renew" campaign has ended so this option on the form will be changed to "Annual Fund." • The target date for mailing the letters is mid-November. • There was a discussion about updating the mailing list. Ross will contact the Chamber of Commerce for a copy of their updated mailing list. Current volunteers will also be added to the list. Ross will add the Chair Event mailing list. Ross will flag these names as well as those of past donors so Williams can add a personal note when signing the letters. Baars will contact Linda Leopard-Watson about the mailing list for any changes she might suggest. IX. Advocacy Gabrielle Williams led the discussion: • Baars has asked the LAB members how and if they are interested in connecting with various neighborhood associations. He is willing to accompany LAB members as they meet with these associations. The Board will work with him to develop a presentation to use. The message will be not only what the Library has to offer but how the Library can better serve the neighborhoods. • It was suggested that the Library offer its calendar of events to be included in any newsletter the neighborhood associations send out to their membership. • Ken Faris will contact City Hall for a list of neighborhood associations and then make the initial contact. This will be an agenda item for the next LAB meeting. 2 CITY OF LAKE OSWEGO October 10, 2007 Library Advisory Board Library LAB members were reminded to give Ross any updates for their bios on the website. And, to give her any contact information changes for the roster. X. Adjournment The Library Advisory Board meeting adjourned at 7:55 p.m. Respectfully submitted, Beverly Ross Recording Secretary 3
