HomeMy WebLinkAboutAgenda Item - 2025-01-30Communications & Engagement SSFS Task Force January 30, 2025 2/12 City Communications Goal: strategic, proactive, & coordinated communications Respect Excellence Trust Service Public Trust 3/12 Communications Plans 101 Communications Plan = communications and engagement road map tailored to a specific project, policy, or topic Each plan should include: 1.Overall goal of the communications 2.Identified stakeholders/audiences 3.Key messages 4.Methods/channels 5.Responsibilities & Timeline 4/12 Current SSFS Communication Goals The objectives and goals of the SSFS communication: •Inform and educate the community on the conditions of the South Shore Fire Station •Inform the community on the Task Force process and recommendations to address the Station’s conditions •Increase community understanding how the SSFS relates to City and community public safety goals, including future needs •Grow public awareness of the potential SSFS Project and grow community support •Inspire key community leaders to proactively champion on behalf of the project •Maintain ongoing communications and transparency with adjacent neighbors, neighborhood, and other interested parties/stakeholders •Monitor community response 5/12 Stakeholders Primary Stakeholders: •Lake Oswego residents (homeowners, renters, property owners) •Policy Makers/Elected Officials (City Council, Boards & Commissions) •Neighborhood Associations •Business community (business owners, employers, employees, Chamber of Commerce, business associations) •Lake Oswego School District •Community groups, civic organizations, and advocacy groups •Social service agencies and nonprofits •Faith-based organizations •Municipal and County partners in neighboring communities •Local media outlets Secondary Stakeholders: •Portland Metro organizations •Potential relocations to Lake Oswego (resident or business) •Local tourism and Travel Oregon •State and federal elected officials representing Lake Oswego •Statewide and regional business organizations •Statewide social service agencies and nonprofits, including those serving targeted populations •Regional, statewide, and national media outlets Individuals or groups that have a vested interest in the outcome of a project, organization, or communication campaign Activity 1: Stakeholder Mapping Communications Channels •Print –HelloLO, Parks & Rec Activities Guide, direct project/service mailers & postcards, utility billing, press releases LO Review, LO Monthly Magazine •Digital –social media, websites, e-newsletters, listservs, YouTube, videos, utility billing, email, TVCTV, radio •Verbal –presentations, meetings, open houses, individual interactions, phone calls, word of mouth •Organizations –Council, Boards & Commissions, Neighborhood Associations Chamber, LOSD, business districts, non-profit, faith community •Tangible –signs, brochures, posters, swag Various methods or mediums used to transmit information 7/12 Activity 2: Communication Channels How does this come together? Project Phases 10/12 Why/What How Project Delivery We are here *Dependent on Council-direction *Dependent on voter-approve bond Tell the story of South Shore Fire Station –why is this being talked about now This should include: •City Council Goal •SSFS Task Force formation & work •The current conditions of the SSFS •Findings of Task Force Intent: inform community of the challenges and limitations of the current building with a focus on future needs of the community To upgrade South Shore Fire Station to meet the needs of the community today and in the future, we need to rebuild the station –how will we finance the rebuild This should include: •Polling on messages •Financing options explored •Proposed bond package Intent: gauge the community on how to fund SSFS Need for station and funding has been supported by the community –we now build the shared vision (project) This should include: •Ongoing storytelling of progress •Community designed spaces/aspects when appropriate •Value provided to the community Intent: deliver on the voter- approved project Phase 1 Phase 2 Phase 3 11/12 Communications & Engagement SSFS Task Force January 30, 2025
